This Privacy Policy explains how Indoorsman GC Inc. (“Indoorsman Golf Club”, “Indoorsman”, “we”, “us”, or “our”) collects, uses, and shares information when you visit our website or interact with us online. We operate a 24/7, members-only indoor golf facility in Reno, Nevada.

If you do not agree with this Policy, please do not use our website or services.

1) Information we collect

a) Information you provide

Name, email, phone, and any details you submit via contact or waitlist forms; account/login info (if applicable); support requests.

b) Information collected automatically

IP address, device/browser, pages viewed, and timestamps collected via cookies or similar technologies for basic site functionality, security, and performance.

c) Facility & operations data (offline)

To provide secure, unattended access, we may maintain door/access logs, incident reports, and (if posted on-site) security camera footage in common areas. We don’t record inside simulator bays for coaching/performance unless clearly disclosed and consented.

d) Information from service providers

We receive information from platforms that help us run the business (e.g., CRM, hosting, security). See Sections 4 and 5.

2) How we use information

  • Operate and improve the website and member experience

  • Respond to inquiries and provide support

  • Send operational messages and, where permitted, marketing communications (you can unsubscribe anytime)

  • Maintain safety, prevent fraud/abuse, and comply with law

3) Cookies & similar technologies

We use cookies to run the site and understand usage at a basic level. You can manage cookies in your browser settings and through any cookie controls we provide. Blocking some cookies may affect site features.

4) HubSpot CRM (forms, email & site engagement)

We use HubSpot to capture and manage leads/members (e.g., names, emails, page interactions) and to send emails. HubSpot may set cookies/pixels on our site to recognize return visits and measure engagement (e.g., form conversions, email opens/clicks).
Your choices: use our cookie controls (where available), unsubscribe from marketing emails via the link in any message, or contact us to access/delete your CRM record.

5) Bookings, memberships & payments (Trackman)

All bookings/membership transactions are processed through our provider, Trackman. When you interact with Trackman’s booking or account tools, your information is handled under Trackman’s terms and privacy policy. We receive the data we need to operate your membership (e.g., name, contact info, booking details) but we do not store full payment card numbers. 6) How we share information

We do not sell your personal information. We share it only with:

  • Service providers that help us operate the website and services (e.g., HubSpot, hosting, security/access systems, email delivery). They must use data only as instructed.

  • Authorities/third parties when required by law or to protect rights, safety, or property.

  • Business transfers (e.g., merger/acquisition) with appropriate protections.

7) Data retention

We keep personal information only as long as necessary for the purposes above, including legal/compliance needs. Examples:

  • CRM/communication records: for the life of the relationship + a reasonable period

  • Access/security logs: for a defined period unless needed for investigations

8) Security

We use administrative, technical, and physical safeguards appropriate to the data’s sensitivity (e.g., access controls, encryption in transit). No method is 100% secure, but we continually improve our safeguards.

9) Your privacy rights

U.S. state privacy laws (including CA & NV): Depending on your state, you may have rights to access, correct, delete, receive a copy (portability), and opt out of certain uses (e.g., targeted advertising or “sale/share” of personal information).

  • We do not sell or “share” personal information for cross-context behavioral advertising.

  • To make a request, contact us using the details below. We will verify and respond as required by law. Authorized agents may submit requests where permitted.

EEA/UK visitors (if applicable): Where GDPR applies, our legal bases include contract, legitimate interests, consent (where required, e.g., certain cookies/marketing), and legal obligations. You may exercise rights of access, rectification, erasure, portability, restriction, and objection, and lodge a complaint with your supervisory authority.

10) Children’s privacy

Our site and membership services are not directed to children under 13. If you believe a child provided us information, contact us and we’ll delete it.
